Department Summary

The New Business team at DigitasLBi UK is responsible for identifying and bringing new client opportunities into the agency. This includes setting the strategic direction and action plan for prospecting, as well as qualifying inbound enquiries and opportunities, and developing tailored collateral and case studies to engage with brands - demonstrating how we can help make them count.

The team work closely with the Marketing team to develop content and events which resonate with prospects and clients. They also own the New Business Process, supporting and guiding pitch teams through it, from the initial stages of an RFI through to the final pitch.

Role Summary

We are looking for an organisational dynamo to join our New Business team to support in the management and co-ordination of all aspects in the running of the department. Each day is different, and so the ideal candidate will be enthusiastic, proactive, with a strong focus on attention to detail who thrives in a fast-paced environment. You will report into the Head of New Business and New Business Manager, supporting at all stages of the pitch process, the implementation of the prospecting plan and general logistics.

Responsibilities include:

  • Management of complex and constantly evolving diaries to schedule meetings around pitch logistics; arranging meetings, travel, lunches with prospective clients/consultants/industry contacts etc.
  • Support on catering needs/theatre for meetings
  • Support with basic/general “RFI” and case study requirements
  • Keep key case study library up to date in terms of format, and regularly feed updated/new materials into the global resource library
  • Development of client Biogs for chemistry/pitch meetings and prospecting plans
  • Management and updating of the Salesforce 360 new business pipeline, pulling regular reports for members of the team and Exec.
  • Keeping key contacts up to date
  • Assist with pre-pitch, pitch and post-pitch tasks e.g. liaising with commercial team on getting NDA’s approved, completed and signed, building pitch war rooms, sourcing and purchasing pitch props and presentation materials
  • Helping with the development of presentations when required
  • Personally delivering tenders / submissions if required owing to tight deadlines
  • General Admin:
    • Arranging meetings, conference calls, travel, accommodation
    • Booking of couriers and taxis
    • Booking & setting up of meeting rooms, conference calls and diary co-ordination
    • Creating job codes for New Business opportunities
    • Ensuring expenses are submitted under appropriate job codes
    • Raising POs/manage supplier invoices e.g catering/printing
    • Sourcing venues for external meetings and catering
    • Management of New Business supplies/collateral for the department
    • Binding, photocopying, printing

Skills & Experience

  • A minimum of one previous work experience in an office environment
  • Confident using Microsoft office packages inc Outlook, Word, Excel and PowerPoint.
  • Excellent written & verbal communication skills
  • Excellent organisational skills, able to juggle multiple tasks and priorities
  • Self-starter and self-learner
  • Ability to work under tight deadlines
  • Strong attention to detail
  • Advantageous but not essential: a proven interest and understanding of digital communications
